5 Steps to Event Planning and Promotion on the Infomation Archipelago

1.  Check the Google Calendar -
http://www.google.com/calendar/embed?src=3bb3buph2sacrtvmici65p80tk%40group.calendar.google.com&ctz=America/Los_Angeles

This is important for both scheduling and promotion.  Gareth's calendar at the welcome center pulls from the Google calendar and lets people know about events in-world.

If you lead a group and need perms to add/change events on the calendar - please contact Abbey Zenith.

All events are scheduled using Pacific (Second Life) Time.
Events scheduled on the calendar are limited to events occurring on the ALS islands or events by groups that originate on the ALS islands.

While we can't avoid scheduling events during other events on different ALS sims from time to time, please try to avoid scheduling events during a time that another group has an event scheduled on the same sim.  If two events planned on one sim during the same period are fairly small (10-20 people) it may work out - but please contact the other group and work together!

2.  Go to www.secondlife.com/events and schedule your event on the public listing of events so people can find them in search!  If you are unable to do this (land/group permissions may need to be set first), please let your sim manager, Lori, or Abbey know.

3.  Create a texture and a notecard to promote your event.  The easiest way to do the texture is to create a PowerPoint Side, save it as a jpg and upload it into SL.  Drop both the texture (copy/mod please) and the notecard to BuddhistLibraian Ballyhoo.  She will see to it that they are placed in the event signs at the welcome centers.  We have a board for ALS events and one for educational/non-profit events that are held elsewhere.

4.  Send out a Group Notice - if you do not have perms to do this and need them please let Abbey or Lori know.  Group Notices are most effective when sent out a few days before the event and again the day of (but not just before the event, group IMs work best for that!)

Group notices are limited to events occurring on the ALS islands or events by groups that originate on the ALS islands.

Please feel free to use the Librarians of Second Life and the Second Life Library 2.0 groups for all ALS group/island notices.  Do not use special groups, such as Jazz Cat, Reader's Garden, Genealogy Scribes, etc. to promote activities not directly related to those groups without the consent of the group owners or officers.  (Group members have the ability to turn off notices or leave the group if they feel they feel that they are being spammed, so please don't negate the hard work of these groups to build membership.)

5. Send news of your event to Lori at lbell927@gmail.com the Friday before the event.  These are sent to the M2 and SLNN.

Group Notices:  Librarians of Second Life and Second Life Library 2.0 Groups

Only ALS island groups and land owners can use the Librarians of SL and SL Library 2.0 groups to promote their events.

In-world group notices should be about an event happening on the ALS owned islands, however if it is a group with a home on the IA and they are having a non-profit, educational event in another location, they may also promote that event through the group.

Affiliated libraries may promote their library events through the in-world group notices.

Group Notices - Other AVL Groups

Notices should not be sent about the events of one group to another group without the specific agreement of second group owner.  Having permission to post on a group does not allow use of that group to promote another group's activities.
